What this policy covers

This policy explains what happens to the personal data you share with us through this website — primarily when you make a referral or send us an enquiry. It does not cover the separate records we keep about young people in our care, which are governed by our care records and safeguarding policies.

The information we collect

When you contact us through the referral form or the contact form, we collect the details you choose to provide: your name, organisation, job title, email address, phone number (if you add one), and the content of your message.

Our forms work by opening a pre-filled email in your own email application — this website does not itself store or transmit what you type. We receive your details when you send that email, and we then hold them in order to respond.

Why we use it, and our lawful basis

We use your information solely to respond to your enquiry, assess a possible placement, and correspond with you about it. Our lawful basis is our legitimate interest in responding to referrals and enquiries from professionals, and, where you send us a message, your consent in doing so.

How long we keep it

We keep enquiry correspondence for up to 12 months after our last contact with you, unless it leads to a placement or an ongoing professional relationship, in which case relevant records are retained for as long as necessary and in line with our statutory record-keeping obligations. We then delete it securely.

Who we share it with

We do not sell your data or use it for marketing. We share it only with the members of our team who need it to respond to you and, where relevant to a referral, with the placing authority involved. Our website is hosted by a reputable provider that processes data on our behalf under appropriate safeguards.

Cookies and analytics

This website uses only the essential cookies needed for it to function. We do not use advertising or third-party analytics cookies that track you, so no cookie-consent banner is required. If that ever changes, we will ask for your consent first.

How we keep it safe

We apply appropriate technical and organisational measures to protect personal data, including serving this website over a secure (HTTPS) connection and limiting access to your information to those who need it.
